RFID and NFC

RFID and NFC are often mentioned in the same breath, but they are technologically distinct and built for different purposes. Both use radio signals for contactless identification, yet they differ considerably in range, communication direction, and typical use case. This article explains the differences and shows which of the current Durabook devices come with an RFID option per the datasheet.

What Is RFID?

RFID stands for Radio Frequency Identification and has been in industrial use for decades. An RFID tag contains an antenna and a small memory chip; an RFID reader queries this information over radio. Depending on the frequency band and design, RFID works over distances from a few centimeters to several meters, which suits the technology for automatically identifying vehicles at a toll booth at full speed.

What Is NFC?

NFC stands for Near Field Communication and can be understood as a variant of RFID optimized specifically for short distances. NFC operates at a maximum range of around 10 cm and can be set up for one-way or two-way communication. Unlike most RFID applications, NFC requires the two devices to be deliberately brought close together, which makes unintended data transfer harder.

The Key Difference: Range and Communication Direction

In many applications, RFID is a one-way system, with data flowing from the tag to the reader, often over several meters of distance. NFC, by contrast, is designed for very short distances and can additionally establish two-way communication between two active devices, between two smartphones, for example. This short range is not a drawback for NFC but a deliberate design choice: it prevents data from being read unintentionally from a greater distance.

Typical Use Cases for RFID

RFID tags are embedded in retail products for inventory control, in badges for access to secure areas, in luggage for automatic sorting, and in toll systems for vehicles. In industry, RFID is also used to track tools, workpieces, and containers along the production line, where automatic identification without a direct line of sight to the reader is needed.

Typical Use Cases for NFC

NFC is now built into nearly every smartphone and many tablets, and is used mainly for contactless payment and quick data transfer between two devices. On rugged tablets, NFC can additionally be used for fast employee authentication via a company badge, or for reading smart tags on equipment and containers.

NFC in Business Use With a Tablet or Laptop

For companies using mobile tablets or laptops, NFC offers several practical applications. Contactless payments can be processed directly on the device, for mobile point-of-sale systems in field service, for example. NFC tags can be embedded in printed marketing materials and read by a compatible device. NFC can also be used for time tracking or access control, identifying who is at which location without installing a separate reader.

NFC in Meetings and Data Exchange

In business meetings, NFC allows quick file exchange between colleagues without manual Bluetooth pairing or sending emails. Unlike Bluetooth, NFC skips device discovery: a connection starts automatically as soon as two NFC-capable devices come within range, noticeably speeding up everyday workflows.

Passive and Active RFID Tags

RFID tags come in passive and active variants. Passive tags have no power source of their own and draw the energy needed to respond from the reader's radio signal, which makes them small, cheap, and nearly maintenance-free, but with a shorter range. Active tags carry their own battery and actively transmit their signal, allowing much greater range, for locating vehicles or containers over several hundred meters, for example. For tracking tools and containers in an industrial setting, passive tags are usually used, since a large range is not needed there.

Frequency Bands: LF, HF and UHF

RFID systems operate in different frequency bands, each with different properties. Low-frequency systems (LF, usually 125 to 134 kHz) are insensitive to metal and liquids but work only over very short distances and are often used for animal tagging and access control. High-frequency systems (HF, 13.56 MHz) also cover NFC and suit medium-range applications such as library management or smart cards. Ultra-high-frequency systems (UHF, usually 860 to 960 MHz) reach the greatest range and are preferred in logistics for capturing entire pallets at once, though they are more sensitive to metal and water near the tags.

Which Durabook Devices Offer RFID Per the Datasheet?

Not every device in the Robustbook lineup offers an RFID interface, since it is needed less often today than a few years ago. Per the datasheet, the Durabook R8 can be configured with an expansion module offering smart card and RFID options. The Durabook S15 offers LF/HF RFID as an integrated option in the configurator. The Durabook U11I offers an optional smart card/RFID reader, and the Durabook R11 and R11L tablets can be configured with an expansion slot featuring an RJ-45/RFID/smart card/MSR combo reader. No RFID option is documented per the datasheet for the Durabook S14I or the Durabook Z14I.

Barcode Instead of RFID: a Common Alternative

Where RFID is unavailable or a simpler solution is sufficient, many users rely on barcode scanners instead, which are also configurable as an option on several of the devices mentioned here. Because RFID and NFC are configured as options on most of the devices mentioned here, it is worth checking the relevant configurator on the product page before ordering.
